About the Parks Management & Servicing Office :
The Parks Management and Servicing Department oversees the development, upkeep, and day-to-day operations of public parks and gardens. With a focus on quality, safety, and sustainability, the department ensures that these green spaces are maintained to high standards and remain accessible, enjoyable, and environmentally responsible for the benefit of all residents and visitors. It also oversees and coordinates all aspects of internal project delivery, ensuring projects are completed efficiently and support the department’s operational goals.
About the Role :
The Executive Administrator will provide high-level administrative, coordination and systems support to senior management within the Parks Management Department, ensuring the efficient organisation of the Department’s administrative needs.
As an Executive Administrator – Parks Management, you will be reporting to the Senior Manager- Parks Management and Servicing, and your general tasks will include :
- Provide administrative and executive support to senior management and managers within the Department.
- Coordinate and support meetings, including the preparation of agendas, supporting documentation, minutes, and follow-up actions.
- Maintain and support departmental systems, records, shared drives, and electronic filing structures to ensure effective document control and accessibility.
- Prepare, coordinate, and distribute routine and ad-hoc reports as required.
- Liaise with internal departments and relevant stakeholders to support the smooth delivery of administrative operations.
- Undertake any other administrative duties as may be reasonably assigned by senior management, in line with the requirements of the role.
- Employee may be required to perform other duties reasonably related to this role, as directed by management, to meet organisational needs. Such duties will be commensurate with the employee’s skills and grade, and in line with applicable policies, agreements and legislation.
About You
Project Green is seeking a proactive and highly organised Executive Administrator who can operate effectively with minimal supervision. The successful candidate will demonstrate strong administrative capability, sound judgement and the ability to adapt to changing priorities.
The role requires an individual with an understanding of, or interest in, project and operational administration, and the ability to confidently learn and apply digital systems and technologies to support business and departmental activities. The successful applicant will show initiative, a willingness to build new skills, and the capacity to quickly learn and use new tools and systems to enhance administrative efficiency and service delivery.
The ideal applicant will be in possessions of a minimum of diploma qualification (MQF Level 5), or higher, as recognised and certified by the Malta Qualifications Recognition Information Centre (MQRIC), preferably in a relevant field such as Business Administration. You will also have a minimum of three (3) years of relevant work experience.
If you do not have the necessary academic or professional qualifications but you have at least five (5) years of relevant work experience, we would still be interested to consider you.
